How to cancel hosting, domains, API plans, and software services—and when refunds apply at Brahm Byte Technologies.
1. Introduction
This Cancellation & Refund Policy ("Policy") explains how Brahm Byte Technologies handles cancellation requests, service termination, and refunds for subscriptions, hosting, domain services, API plans, and custom software projects purchased through www.brahmbyte.com or via invoice.
This Policy supplements our Terms & Conditions and Privacy Policy. Where a signed statement of work (SOW) or enterprise agreement specifies different cancellation terms, that document controls for the covered engagement.
2. Scope
This Policy applies to:
- Recurring subscriptions (hosting, VPS, cloud, API monthly plans, add-ons);
- One-time and prepaid hosting or infrastructure purchases;
- Domain registration, transfer, renewal, and WHOIS privacy add-ons;
- API setup fees, wallet top-ups, and usage-based billing;
- Custom software development milestones and retainers;
- Demo or evaluation access (no refund applicable—see Section 12).
3. How to Request Cancellation
To cancel a service or request a refund review, contact us with your order or invoice ID:

Include: registered email, service name (e.g. VPS plan, domain name, API plan), reason for cancellation, and preferred effective date. We confirm receipt within two (2) business days.
4. Subscription Cancellation
- Monthly subscriptions may be cancelled before the next billing date to avoid renewal charges; access continues until the end of the paid period unless immediate termination is requested and accepted;
- Annual or multi-year subscriptions cancelled mid-term may qualify only for pro-rata credit as described in Section 11, not full refunds, unless required by law or a promotional guarantee;
- Disabling auto-renew in the client area or via email is required to prevent future charges—you remain responsible for charges processed before cancellation is confirmed;
- Downgrades take effect at the next renewal unless otherwise agreed.
5. Web, VPS, and Cloud Hosting
5.1 Web hosting
- Money-back window: new shared hosting orders may be eligible for a full refund within fourteen (14) days of initial purchase if usage is within fair-use limits (no high outbound traffic, no policy violations);
- After 14 days, prepaid fees are generally non-refundable; service runs until term expiry;
- Free domains bundled with hosting may be charged at registry cost if refunded within promotional period.
5.2 VPS and cloud hosting
- VPS/cloud instances are provisioned with dedicated resources—refunds are limited to the 7-day window from first activation if the instance has not exceeded 20% of plan resources or violated AUP;
- Hourly or usage-based cloud charges are non-refundable once consumed;
- Custom images, licenses, or migration labour are non-refundable once delivered.
5.3 Data upon cancellation
You should export backups before the effective cancellation date. After termination, data may be deleted within seven (7) to thirty (30) days per our data retention schedule.
6. Domain Registration and Renewal
- Domain registrations, renewals, transfers, and premium domains are generally non-refundable once submitted to the registry, as registry fees are incurred immediately;
- Registration errors attributable to Brahm Byte (wrong TLD charged, duplicate order not submitted) may be corrected or refunded at our discretion within seven (7) days;
- WHOIS privacy and DNS add-ons follow the hosting refund window only when purchased standalone with eligible hosting; otherwise non-refundable after activation;
- You may cancel auto-renewal anytime; the domain remains active until expiry. Redemption fees after expiry are your responsibility.
7. Software Development Projects
- Fixed-price and milestone contracts: fees for completed and accepted milestones are non-refundable; work-in-progress may be invoiced per SOW if you cancel without cause;
- Time-and-materials engagements: billable hours logged up to cancellation date are due;
- Deposits for discovery or reserved capacity may be non-refundable if stated in the proposal;
- Deliverables, source code, and credentials are released only per the SOW payment schedule, even if you cancel future phases.
8. API Services
- One-time API setup or onboarding fees are non-refundable after credentials are issued;
- Prepaid wallet balance or minimum commitments are non-refundable but may remain usable until expiry if account is active;
- Monthly API subscriptions follow subscription rules in Section 4;
- Sandbox access is free; no refunds apply.

10. Refund Processing Time
Approved refunds are initiated within 7–14 business days from approval date. Funds appear in your account depending on your bank, card issuer, or UPI provider—often an additional 3–10 business days.
Refunds are credited to the original payment method where possible. Bank transfer refunds require verified account details and may take longer for compliance checks.
11. Non-Refundable Items
- Domain registrations, renewals, transfers, and redemption fees;
- SSL certificates, premium licenses, and third-party pass-through costs once issued;
- API setup fees, consumed usage, and delivered custom development work;
- Late fees, chargeback fees, currency conversion spreads, and taxes paid to authorities;
- Services suspended for acceptable-use policy violations or fraud;
- Promotional or discounted plans marked "non-refundable" at purchase.
12. Partial Refunds and Credits
At our discretion, unused portions of annual hosting or eligible plans may be converted to account credit (INR) rather than cash refund. Credits are non-transferable, expire as stated on issuance, and cannot be exchanged for cash except where required by law.
13. Chargebacks and Payment Disputes
If you dispute a charge with your bank or payment network without first contacting us, we may suspend related services pending investigation. Fraudulent chargebacks may result in permanent account closure and collection of owed amounts.

14. Auto-Renewal Cancellation
Hosting, domains, and subscriptions may renew automatically. To avoid renewal charges, cancel auto-renew at least forty-eight (48) hours before the renewal date via client area or email confirmation. Renewal invoices paid in error may be reviewed for credit within seven (7) days if services have not been substantially consumed.
15. Account Closure
You may request full account closure after all active services are cancelled and outstanding invoices settled. Personal data handling after closure is described in our Privacy Policy.
16. Force Majeure
If service interruption results from events outside our reasonable control (registry failure, datacentre outage, natural disaster, government order), refund obligations may be limited to pro-rata credit for documented downtime exceeding any published SLA, if applicable to your plan.
